Administrative Manager, Preparatory Division

The Juilliard School is seeking an Administrative Manager.

Reporting to the Dean, the Administrative Manager manages all administrative processes in the Preparatory Division and provides general administrative support to ensure that all daily department operations are run effectively and efficiently. Serves as the primary liaison in and out of the division’s offices, supports staff in various ways, and is the administrative assistant for the Dean of the Preparatory Division. This position generally works a Monday-Friday schedule, but will be asked to work Tuesday-Saturday during a limited number of selected weeks.

Responsibilities:

• Administrative support of the Preparatory Division
o Serve as first point of contact for general inquiries of faculty, staff, and students;
o Works with Dean and staff to identify and proactively respond to issues that may arise; direct escalated concerns to appropriate staff members
o Oversee and manage logistical arrangements and payments for visiting faculty, guest teachers, and masterclasses, and partners with respective internal offices for processing as needed
o Assists staff with recruiting and external partnership work
o Partners with Human Resources in the coordination and execution for faculty contracts
o Assist with budget tracking; process and track check requests
o Provides support to the staff with summer programs
o Edit and draft selected written materials for division

• Administrative support for the Dean of the Preparatory Division
o Serve as primary liaison between the Dean and the Juilliard community
o Manage the Dean’s calendar of appointments, meetings, and travel itineraries
o Draft and edit written materials on behalf of the Dean
o Coordinate and follow up with Dean on ongoing issues related to faculty, staff, and student requests
o Assist in preparation of presentations and reports for meetings and speaking engagements of the Dean
o Attend and record notes for select Administrative Council meetings

• Project Management
o Implement and manage all special projects, including but not limited to, student engagement programs and activities
o Organizes and provides support for orientation, commencement, galas, competitions, donor interactions, and various projects and initiatives

Minimum Requirements:
• Bachelor’s degree
• Must have knowledge of classical music and/or have working experience in the field
• Excellent written and verbal communication skills, including ability to proofread and draft documents
• Proficiency in Microsoft Office, including Word, Excel, Power Point, and Outlook; willingness and aptitude for learning new programs
• Strong interpersonal skills and sensitivity to the many needs of a fast-paced educational and performing arts community
• Attitude of flexibility, teamwork, and collaboration
• Demonstrated ability to work with confidential information and diverse populations
• Demonstrated ability to manage multiple tasks simultaneously and to plan and oversee complete projects independently
• Ability to take notes in meetings
• Budget Management
• Ability to work well independently to meet multiple deadlines
• Ability to work effectively as a member of a team
• Excellent writing skills
