Clerical Support Officer for Music for Galway (MFG) – 10 Hours per Week
Salary Scale: Clerical Officer €21,830 (37.5 hour week).
Salary will be pro rata for a 10 hour week.

Reporting to: MFG Programme Manager
Responsible to: MFG Programme Manager 

Music for Galway aims to present a coherent and complementary season of musical events of the highest standard, with a range of styles and instrumentations, mixing emerging artists with the most established, Irish artists with international musicians. Our aim at all times is to be open, welcoming and friendly. 

The core of our activity is the provision of a top class programme of international music performances in Galway in a Season commencing September/October and ending April/May. At the heart of the programme lies piano and chamber music. This is carefully balanced to include a variety of performances including early music, contemporary, world or jazz, and also encompassing solo recitals, symphony orchestra concerts and everything in between.

Alongside the events there is an on-going provision of information about musical events in the region and nationally, an on-going network of partnerships with national and international organisations, a provision of background information on music and musicians via newsletters, facebook and websites, and an office which serves as a music information centre for the area.

Qualifications
The person

  • Most hold a third level qualification
  • Most hold an ECDL qualification
  • Be familiar with updating of websites and updating information on social media
  • Be familiar with setting up emailing shots 

Specific Conditions: 

  • The staff member must respect the aims and aspirations of MFG.
  • The staff member will treat all individuals that he or she works with and meets in their role of office support person, with respect and dignity. 

Main duties and Functions: 

  • Provide administrative support to the Programme Manager of MFG
  • Provide Telephonist/Reception Services as required.
  • Provide support to all bookings and the administration, of such, in particular of phone bookings and queries.
  • Provide secretarial service as required.
  • Be responsible for mailing to MFG Friends.
  • Maintain files and archiving.
  • Be responsible for poster and flyer distribution.
  • Maintain personal timesheet.
  • Ensure confidentiality in all matters concerning MFG.
  • Promote dignity at work and show respect to all people they have dealings with in the course of working for MFG.
  • Be aware of and become familiar with the drill procedures within the MFG office i.e. calling emergency services, fire detection, evacuation and fire fighting.
  • Be conscious of Health and Safety matters in the work place, and in particular to comply with employees obligations as set out under the Safety, Health and Welfare at Work Act, 2005.

In addition you may be also asked to:

  • To help with the maintenance of aspects of accounts payable and account receivable as needs require. 

The role of the post holder will not be limited by reference to this job description.  It would be expected that the role will evolve as professional, structural and MFG demands change and the post holder will be expected to demonstrate flexibility skills that will facilitate these changes.
